Location: Accounts (task ID: AccountsMnt)
1.In the editable account tree, click where you want to add a new account and then click Add.
2.In the Add Account pop-up window, type an account number for the account in the ID field. The maximum length of the account number is 32 characters.
Note! The account number cannot be modified after the account has been saved and added to the account tree.
3.Select the account type from the Account type drop-down list:
•Hierarchy: The account will be shown in the Hierarchy drop-down list and as the root level account of the hierarchy it represents.
•Normal account: Data can be entered to a normal account if the account does not have a sub-account connected to the data type in question. If sub-account are connected, data of these is summed up to present the accounts data value.
•Rate difference account: The automatic rate difference is generated to this account. The account chart may include several rate difference accounts. Rate difference accounts can be added under any normal account or hierarchy.
•Calculated account: Input data of other account(s) can be generated to a calculated account when the calculated account cannot be defined as a sum account for the source account(s). A calculated account can also be set as a reconciliation account for an account group for generating automatic reconciliation entries. Data cannot be manually entered into calculated accounts.
4.From the Account position drop-down list, select whether you want to add the account below the selected account (Sub-account) or on the same level (Same level).
Note! The available options depend on the location and the type of the account you are adding. For example, if you select a normal account and add a new normal account, you can add it on the same level with the selected account or as its sub-account. However, if you select calculated or rate difference account and add a new account, you can only add it on the same level with the selected account, because these accounts cannot have sub-accounts.
5.Click Save. The new account is added to the account tree. For editing the account settings, see Modifying Account Properties.
6.If the selected account or any of its parent accounts is connected to another hierarchy or branch, the Reused Accounts dialogue box opens showing the other locations. You have the following options:
•Change: Change the structure(s) in all locations.
•Add: Replace all the accounts of the selected branch with new account codes. Other locations of the selection are not changed. If you select this option, another dialogue box opens for entering the required new codes.
•Cancel: No changes.
You can move accounts up or down on the same level of the hierarchy using the You can also drag-and-drop an account from a comparison hierarchy (non-editable tree on the left) to copy an account or an account branch to the editable hierarchy. If this causes changes in the sub-structure of any account that is included also in another branch or hierarchy, the Reused Accounts dialogue box opens (see above). Note the following restrictions: •Accounts cannot be moved under calculated accounts or rate difference accounts, nor under normal account that has input data relating to any data type to which the moved account is connected. •If a moved account contains data, the sum row calculations must be re-run before figures can be reported according to the new sum hierarchy. •If a moved account former or new parent account was included in any calculation rule as source account, input data calculation must be re-run before figures can be reported according to the new sum hierarchy. •The maximum depth for the account hierarchy is 30 levels. To change an account into a hierarchy, click Promote. Normal accounts can be changed into hierarchies. To remove an account from a hierarchy, click Disconnect. You can select and disconnect several accounts at one go. If you disconnect a hierarchy level, it no longer shows in the Hierarchy drop-down list. To add a removed account back to a hierarchy: In the non-editable hierarchy tree (on the left), select Accounts not in use or another hierarchy the account still is connected to and drag and drop the account to the editable tree. To delete an account, click Delete. Note that deleting removes the accounts permanently from the database. Account cannot be deleted if it has input data. If the account has no input data, but is included in any calculation rule as source or target account, a dialog is shown listing the rules where account(s) to be deleted are involved. You may choose to cancel or continue. If you choose to continue, the account(s) as well as any relating rows in calculation rules will be removed permanently. |
